Reservations
All reservations will be generally treated as provisional for an agreed time period before they are confirmed in writing and treated as a firm booking. If the Veronika Activity Hotel Incoming GmbH & Co. KG, hereinafter called the hotel, receives another request for the same provisional time period, the customer will be informed and the provisional booking period may be reduced by the hotel.
Methods of payment
The hotel reserves the right to request a down payment for a firm booking or event. The amount is calculated as follows. On a firm booking we shall request an immediate payment of 25 % of the total amount. 60 days before arrival we shall request a part payment of
40 % of the total amount. 14 days before arrival we shall request a part payment of 35 % of the total amount. Down payments will not be used for another purpose from those intended, and we advise you that this payment will be used to confirm the customer’s reservation. A delay in making the down payments quoted may lead to the reservation being cancelled.
Cancellations
The hotel reserves the right to cancel bookings if the customer does not comply with the relevant terms of agreement. Cancellations must generally be made in writing. In the event of cancellation, the following percentage rates of the confirmed total amount will apply:
Cancellation 60 – 28 days before arrival: 65 %
Cancellation 27 – 15 days before arrival: 85 %
Cancellation 14 – 08 days before arrival: 90 %
Cancellation 07 – 00 days before arrival: 100 %
Up to 60 days before arrival 10 % of the booked rooms can be cancelled without charge, and up to 30 days before arrival, 5 % of the booked rooms can be cancelled without charge.These terms will become effective if the hotel does not manage to replace the cancelled event or stay with other customers wishing to arrange one of a similar magnitude to that cancelled. Nevertheless, the costs incurred for e.g. staff hire, technical equipment, flower arrangements, music and entertainment, photography etc, must be paid within the 30 days before the event if cancelled. It will be generally accepted that correspondence between the hotel and customers concerning the above provisions and cancellation terms presupposes that these are agreed and accepted by the customer. The exchange of letters and faxes shall be construed as a contract.
